Exploring Task Groups

What is a Task Group?

Task Groups allow for structured task assignment and visibility control, ensuring that each task is seen and completed by the right people or teams. They work independently from individual task assignments, giving admins and managers flexible options for workflow management.

Permissions

Before getting started, your user roles will need to be adjusted to account for the permissions required to use the Task Groups within your instance.

If you're a Super Admin, you already have full access, and no changes are needed. To learn more, see the Roles and Permissions article.

Task Groups (Settings → Tasks): Manage task groups and assign users.

How to Create a Task Group

Task Groups are created and managed within the Sonar instance by navigating to Settings → Tasks → Task Groups.

Here you can view existing groups, create new groups, enable or disable groups, and assign users to groups.

Once clicking on the Create Task Group button, a modal will appear providing you with the following options:

  1. Enabled: An enabled group is available for selection in task creation. Disabling a group will hide it from the interface, useful for seasonal or project-specific groups.
  2. Name: A clear, identifiable name to distinguish the group, especially helpful when used in reporting or templates.
  3. Users: Assign members who belong to the group. Tasks assigned to the group will be visible under each member’s profile in the Unassigned Tasks section.
Task Groups cannot be deleted once used, but they can be disabled.

How to Use Task Groups

You can assign a task to a Task Group in the following ways:

  1. While creating a task on an entity (like an account, job, or ticket).
  2. While applying a task template that includes group assignments.
  3. Through the Centralized Task Management page by filtering and assigning.
There are no dependencies between individual task assignment and group assignment—tasks can be assigned to a user, a group, or both.

Where Tasks Appear

  1. On the associated entity (e.g., Account, Ticket, Job).
  2. In the Centralized Task Management page.
  3. Within each user’s profile under the “Tasks” tab (for directly assigned or group-assigned tasks).
Tasks assigned to groups will appear under “Unassigned Tasks (for the groups the user belongs to)” in user profiles, providing shared ownership while still enabling individual users to claim or complete tasks.

Examples of Task Groups

Task Groups are commonly organized by function or department. Some examples may include:

  1. Support
  2. Billing
  3. Sales
  4. Onboarding
  5. Cancellation

For more restricted task visibility, private-style usage can be mimicked with dedicated groups such as:

  1. NOC
  2. Managers
  3. Infrastructure

These help route specialized tasks to specific expert teams while maintaining operational control.
